PRIVACY NOTICE
Your business information stays private.

RouteRanch helps trucking companies organize their own operations. This notice describes the personal and business information processed through the service and the choices available to users. RouteRanch is intended for adult business users and is not directed to children.
Information we process
We process account and company details you provide, including names, email addresses, company names, authentication records, roles, and support communications. Workspace users may enter customer contacts, saved locations, map links, precise coordinates, fleet records, truck status updates, jobs, quotes, materials, rates, fuel entries, driver hours, mileage, engine hours, haul weights, notes, and ticket images or PDFs.
Purposes
We use this information only to provide and secure the service, separate company workspaces, process requested subscriptions, support authorized users, create reports, prevent abuse, maintain audit records, and comply with law. RouteRanch does not sell personal data, use it for targeted advertising, or profile people for decisions about employment, credit, housing, insurance, health care, education, criminal justice, or access to basic necessities.
Location information
Precise location can be sensitive personal data under Texas law. RouteRanch processes a current location only after a user affirmatively chooses the location control and grants device permission, or when a user intentionally supplies a Google Maps or Apple Maps link or coordinates. Location information is used to save company job sites and directions. It is not used for continuous driver tracking or advertising. Device permission can be withdrawn in browser or operating-system settings.
Images and biometric information
Ticket photographs and PDFs are stored as documents for the company that uploads them. RouteRanch does not use facial recognition, voiceprints, fingerprint matching, face geometry, or other biometric identification. Do not upload biometric identifiers or unlawfully collected images. If biometric functionality is ever proposed, it will not be enabled without a separate notice and any legally required consent.
Artificial intelligence
RouteRanch currently does not use artificial intelligence to make decisions about drivers, employment, dispatch, pricing, safety ratings, access, or customer eligibility. Any future AI feature must be clearly identified, remain subject to meaningful human review, and may not be used to unlawfully discriminate, infer protected traits, manipulate a person, or replace legally required safety judgment. Service providers and payments
Infrastructure, authentication, storage, mapping links, payment processing, and support may involve service providers acting for RouteRanch or the customer company. Stripe processes payments; RouteRanch does not store complete card or bank-account numbers. Opening Google Maps or Apple Maps is governed by that provider’s terms and privacy practices. We disclose information when needed to provide a requested service, protect the service or users, complete a business transaction subject to appropriate safeguards, or comply with law.
Security and retention
Company workspaces are logically separated. Access is role-based, credentials and session tokens are protected, and the founder account cannot enter a customer company’s operational workspace or access its rates, jobs, customers, fleet records, payments received, revenue totals, profits, margins, or earnings reports. Founder support is limited to company-profile administration, account access, maintenance, security, and legal needs. Records are kept while an account is active and as reasonably needed for service, security, billing, dispute resolution, backups, and legal obligations. No online service can promise absolute security; use a unique password and protect the email and devices connected to the account.
Your Texas privacy choices
Subject to applicable law, Texas residents may ask whether personal data is processed, request access to a portable copy, correct inaccuracies, request deletion, and opt out of covered sale, targeted advertising, or qualifying profiling. RouteRanch does not currently engage in those opt-out activities. Requests do not require a new account and may be emailed to h-vclients@outlook.com. Include enough information to verify and complete the request. We target a response within 45 days. When reasonably necessary and legally permitted, we may extend once for up to 45 additional days and will provide timely notice and the reason. If a request is denied, reply within the same email thread with “Appeal” and the reason you disagree. Authorized agents may submit requests when legally permitted. We will not discriminate against a person for exercising an applicable privacy right.
Security-incident notice
If we determine that a qualifying breach affects Texas residents, we will investigate and provide notices required by applicable law. Texas law generally requires affected-person notice without unreasonable delay and no later than 60 days after determining a qualifying breach, subject to legal exceptions and law-enforcement needs. An incident affecting at least 250 Texas residents may require notice to the Texas Attorney General as soon as practicable and no later than 30 days after discovery.
Company and employment records
Customer companies control the operational and workforce information they choose to enter. Each company is responsible for providing its own employees, contractors, customers, and drivers with legally required notices and obtaining any required permissions. RouteRanch assists with access, correction, export, and deletion requests but does not determine a company’s independent legal obligations.
